Operator FAQs & How-To Guide

How do I use the professional dashboard?

Use the tabs to review intake, appointments, forms, SEO tools, public policies, trust information, veterans planning, activity logs, and support guidance without using the normal WordPress backend for day-to-day work.

Who should have access?

Only the Owner / Head Administrator, Office Manager / Operations Administrator, and Webmaster / IT Administrator roles should use this upper-level portal. These role titles can be renamed later.

Can the office manager have full access?

Yes. In this release, the owner, office manager, and webmaster roles are all full-access professional portal roles.

How do intake requests work?

A client, family member, guardian, or referral partner submits the Request Care form. The dashboard stores the record for review, follow-up, export, printing, or filing.

How do appointment requests work?

Website visitors submit a preferred date, time, reason, and contact information. The office confirms the appointment manually.

How do forms work?

Forms are tracked for download, print, routing notes, status, and future replacement. Official/state forms should remain unchanged unless the agency owns the form.

Can forms be submitted directly to outside agencies?

This starter version supports routing notes and email placeholders. Direct third-party submission should be added only after confirming the correct destination, permission, and accepted submission method.

How does SEO work?

Open any page or post, fill in the WebKey SEO title, meta description, local keywords, and social preview fields, then use the dashboard reminders and share tools to promote the content.

What is the Trust Center?

The Trust Center explains secure login, protected portal practices, activity logging, privacy expectations, and safe website use in public-friendly language.

What is the policy library?

The policy library is a public-facing starter information area. It does not replace the agency’s official policy manual and can be updated later when agency-approved policies are provided.

What does the AI Console do?

The starter console is a help and guidance tool. It explains features, suggests next steps, and helps users find the right part of the dashboard. It does not make care decisions or compliance decisions.

Is this a payment system?

No. Payments are intentionally excluded from this version and should be added as a higher-tier module.
